Derby Royal Hospital orders extra browser tools for further enhancements
Three hospitals will complete their final trials of RotaTrack over the coming weeks - despite the delays caused by the weather. They will soon confirm that compiling rotas is just one of the many tasks that RotaTrack automates. Over 150 reports on training, absences, cancellations - with reasons, and so much more become available at the click of a mouse.
The huge new Derby Royal Hospital installation (with over forty theatres and locations to cover) are ready to go on-line in a matter of days. The installation completes our move to the new version of RotaTrackSQL using the latest and more powerful 4D engine. Hospitals such as Bangor (who have used RotaTrack for seven years) will be updated later as part of their maintenance contract.
The new version of RotaTrack has easy links to most SQL based products from other software developers. SQL is fast becoming a standard requirement with IT departments. And of course we can still take in Excel information from external sources.  
Evidence based clinical governence: Over recent years management control has become an increasing issue. In recognition of this RotaTrack features reports on all departmental activities, these include: details on sessions, training and all diary events. Many of the reports are available in Excel form making the data easy to edit and re-process in other reports. Evidence based clinical governance is becoming critical and apart from its reporting facilities the RotaTrack ‘Away Group’ concept helps hospitals to grasp the nettle.
We firmly believe that to run the necessary calculations (not searches), from a browser, across a busy hospital network at peak times would be irresponsible. (RotaTrack uses nearly 3,000 fields and tables involving hundreds of thousands of calculations to produce the finished rota. However we do link to a browser server, in low traffic areas such as an external leave booking system allowing staff to check and book leave  from home with a good idea of the outcome of their request. This is all achieved without showing information relating to staff. An iPhone link from outside the hospital will also be feasible but for personal information users staff would need to opt-in.
‘Click & allocate’ assisted manual automation for £3,125:
 To create a rota it is necessary to know who is available and who is not, who is on-call or on a shift and what fixed sessions and other duties need to be filled. RotaTrack Lite's diary provides lists of available and unavailable staff. Then Lite allocates fixed sessions, filling gaps using available qualified staff such as ‘free’ Consultants.
User can click and allocate trainees as appropriate from a drop-down menu. Lite prevents double booking and uses core elements of RotaTrack that users can set-up & run themselves. This keeps the entry cost down. When more automation is required, we merely charge the difference. (e.g. having bought Lite the second phase - Shifts and OnCalls - is available for an extra £5000 or so).  Users can target 100% automation in stages and stop and start as it suits them.

Australian trials prove RotaTrack

 Meanwhile, RotaTrack has been successfully utilised at a major Australian Teaching Hospital to project the effects of increasing service provision with and without increases in staffing levels in Anaesthetics (the largest specialty department in any hospital). Areas analysed included service, teaching, supervision & hours worked. The results enabled a controlled migration to a new service profile maintaining the required teaching.
