The huge new Derby Royal Hospital Anaesthetics Department (with over forty theatres and locations to cover) has gone live with RotaTrack. Many have tried to crack
the hugely complicated Anaesthetics model but none have succeeded in providing a realistic across the board solution. With varying skill levels, specialties, preferences, automated
rolling shift patterns etc. the complexities are too great for standard hospital systems to achieve without significant compromise. Add to this RotaTracks training modules, reporting
and management control together with browser facilities and it is scarcely surprising that a major player told one hospital that they were at least three years away from having a
comparable product - even using their nursing system. And we think that that’s rather optimistic.
The Derby installation completes a significant move to a powerful SQL platform using the latest and more powerful 4D database engine. The new version of RotaTrack has easy links to most SQL based products from other software developers and SQL is fast becoming a standard requirement with IT departments.
Evidence based clinical governence: Over recent years management control has become an increasing
issue. In recognition of this RotaTrack features reports on all departmental activities, these include: details on sessions, training and all diary events. Many of the reports are
available in Excel form making the data easy to edit and re-process in other reports. Evidence based clinical governance is becoming critical and apart from its reporting facilities the
RotaTrack ‘Away Group’ concept helps hospitals to grasp the nettle.
We can also link to a browser server, to provide an external leave booking system allowing staff to check and book leave from home with a good idea of the outcome
of their request. This is all achieved without showing information relating to staff. An iPhone link from outside the hospital will also be feasible but where personal information staff
may be shown ie duties, users would need to opt-in.
Two other hospitals will follow over the coming weeks depending on their ability to supply the heavy data requirements required. |
‘Click & allocate’ assisted manual automation for smaller installations and other clinical departments
To create a rota it is necessary to know who is available and who is not, who is on-call or on a shift and what fixed sessions and other duties need to be
filled. RotaTrack Lite's diary even provides lists of available and unavailable staff. Then Lite auto-allocates fixed sessions, filling gaps using available qualified staff such as
‘free’ Consultants.
Users can then click and allocate trainees as appropriate from a drop-down menu. Lite at just £3,250 prevents double booking and uses core elements of RotaTrack that users can set-up & run themselves. This keeps the entry cost down. And when more automation is required, we merely charge the difference. (e.g. having bought Lite the second phase - Shifts and OnCalls - is available for an extra £5000 or so). Users can target 100% automation in stages and stop and start as it suits them.

Australian trials prove RotaTrack
Meanwhile, RotaTrack has been successfully utilised at a major Australian Teaching Hospital to project the effects of increasing service provision with and without increases in staffing levels in Anaesthetics (the largest specialty department in any hospital). Areas analysed included service, teaching, supervision, and hours worked. The results enabled a controlled migration to a new service profile maintaining the required teaching. It has also enabled huge cost savings in penalty rates such that Anaesthetics has the lowest per capita overtime/penalty rates of any acute specialty.
