Automated rota’s from the experts for £1,950*
June  09: Rotas at the click of a button - magic. Everyone wants full automation but few have ready access to the funds. RotaTrack Lite provides a high degree of automation for an introductory  £1950.
To create a rota it is necessary to know who is available and who is not, who is on-call or on a shift and what fixed sessions and other duties need to be filled. RotaTrack Litre's diary provides lists of available and unavailable staff that it uses to allocate fixed sessions, and fill gaps using available qualified staff. User can then allocate trainees as appropriate from a drop-down menu. Most importantly RotaTrack Lite prevents double booking.
In use operators need to maintain a computerised departmental diary and weekly templates into which rotas can be flowed and trainees allocated. This is all controlled by a module taken from our high end fully automated RotaTrack. As circumstance demand users can move to the next Shift/OnCall (Resource Manager) module or the full version of RotaTrack. Go as far as you want - but in your own time.
Since launching RotaTrack at Bangor  seven years ago, RotaTrack has never failed. To us it has been evident that delivering full automation, whilst being everyone ’s dream, is in practical terms a long and hard slog. The sheer volume of information required from each hospital to run RotaTrack is formidable and can prove too much for all but the most dedicated. Our experience shows that providing a powerful departmental
diary is available the first 70% is relatively simple and cheap. It’s the last 30% that costs.
Rotatrack can provide full automation but when the chips are down many hospitals lack the time,  flexibility or patience to actually reap the reward. In recognising this we have now stripped out elements of RotaTrack that users can set-up and run themselves. This keeps the entry cost down and means that users can see for themselves how good RotaTrack is with no involvement from Studio Box. When users want more automation it can be supplied, we merely charge the difference. (e.g. having bought the first option shown below the second option is available for an extra £6000). We only get involved in wringing that last 20 to 30% of automation from a system - the costly part.  Users can target 100% automation in stages and stop and start as it suits them.  
RotaTrack Lite costs just £1,950 and provides:
•  A Departmental diary
Auto generated fixed sessions
Lists of both available and unavailable staff
•  Allocation of Trainees via a drop-down menu of   available staff
•  A manual and demonstration to aid set-up
•  e-mail support in the first 60 days.
Resource Manager for rolling shift patterns & OnCalls will be available in August for around £8k.


£310 million set-aside for 2009 EWTD
Its off again! The UK is now going to continue the opt-out of the 2009 Working rules. In 2008 the Government made £110 million available to PCT’s to help hospitals conform and £310 million will be available next year. Many hospitals have been unaware of this leading one senior Consultant to comment, ‘The Government gives money for various things, but it does not get where it should go because people are not aware of it ’. Failing to conform incurs fines of up to £5000 per breach.
All departments can benefit from automation
There are few hospital systems around that can handle the EWTD demands and only RotaTrack can handle the more complex needs of the biggest clinical departments such as Radiography and Anaesthesia. Rotatracks comprehensive automation can be used by any department or hospital-wide, flowing into a spread-sheet for allocation from a list of available, qualified personnel. A hospital-wide module for controls and plans leave, shifts and other departmental activities. Users can even start on a basic version and move up as their needs grow.
SQL leave requests & approval hospital-wide via the intranet.
Powerful Browser and e-mail facilities are  being added to to the new SQL based RotaTrack to provide an interactive leave request and authorisation facility. This will reduce the admin workload drastically while speeding up response time through a comprehensive departmental record structure. In use users will be able to request leave via the intranet and using a traffic light system gauge the chances of success. (potential problems are also highlighted).
Australian trials prove RotaTrack
 Meanwhile, RotaTrack has been successfully utilised at a major Australian Teaching Hospital to project the effects of increasing service provision with and without increases in staffing levels in Anaesthetics (the largest specialty department in any hospital). Areas analysed included service, teaching, supervision & hours worked. The results enabled a controlled migration to a new service profile supported by the resource requirements identified by RotaTrack to maintain the required teaching of trainees.
